The Truth about Deposition Scheduling As an attorney, your practice does not adhere to geographic boundaries. Even if you only accept local cases, it is virtually guaranteed that some of the witnesses, medical providers, and experts involved in your case will live outside of your hometown. In the Internet era, no practice is truly a “local practice.” So what happens when you need a court reporter outside of your hometown? You may be thinking, “No problem, my secretary will take care of it,” but the reality is that your secretary may be doing little more than relying on a Google search. If you have any experience with search engine advertising, you certainly know that the highest ranked page in your search results is not necessarily the best source of the services you need. Instead, it may just be the Webpage of a company that spends its time and money on search engine optimization – not customer service. Options to Avoid You might be surprised to learn that virtually every court reporting firm now offers “nationwide scheduling” or claims to have offices around the state and country. Closer inspection will oft en reveal that these same court reporters actually list their home address as their office address. Others rely on virtual office space. In those cases, the court reporters must pay for conference rooms by the hour and then pass those costs on to you. What is worse is that those court reporters will even add a 10% to 20% surcharge to the cost of the conference room. In other words, the are charging you for the “privilege” of using someone else’s conference room! You owe a duty to your clients to ensure that they do not incur unreasonable charges. Make sure that you are dealing with a court reporting group that has transparent billing practices and provides their office space at no additional charge to your client. Scheduling In Kentucky Kentuckiana Court Reporters provides court reporters and videographers to all 40,409 square miles of Kentucky. We have offices in Louisville, Lexington, Florence, and London (KY). All of our offices have conference rooms which you can use for no additional charge. Th is means that you do not have to go to the office of an adverse witness (where they are the most comfortable). Instead, use our neutral conference rooms and ensure that you are not at a disadvantage during the deposition. If you are in a city where we do not currently have an office, we can locate a conference room for you. Typically, we can obtain a conference room at no charge through our professional networks. If some cost is involved, we do not mark it up. The point is that you need to ask your court reporting agency about their conference rooms rates before reserving their rooms or letting them “take care of it” for you. We have court reporters who live in Louisville, Lexington, Paducah, Bardstown, Salvisa, Florence, Covington, and other parts of Kentucky. When you call Kentuckiana, we are providing you with our own local court reporters. While we do not have court reporters in every city in the state, we always have someone nearby. Many court reporting agencies do not have court reporters outside of their local office. When they cover a job for you outside of their hometown, they are just calling another reporting agency and taking a referral fee for sending you to a third-party. That’s right, you are paying more to have your reporter ship you off to another random company. That will not happen when you schedule with Kentuckiana. You will always be served by our court reporters and our prices will not change based on your location. Again, if you are outsourcing your scheduling to another court reporter or agency, be sure to ask them who will actually be handling your deposition. You do not want to pay the extra fees that can be associated with passing your job on to third-parties. Scheduling Nationwide In addition to our Kentucky offices, we also have court reporting offices in Indianapolis and Cincinnati. If you need a court reporter outside of Kentucky, we can refer you to another company with whom we have established a relationship with over the last 30 years. We will also make sure that you get the best rates possible while receiving the same high quality service. In other words, we do not just rely on Google or try to gouge you with referral fees. We are not a court reporting company with offices nationwide, but we have reliable affiliates nationwide who provide great service. Take a few extra minutes to ask your court reporters about who does their work outside of their hometown. Double-check rates on conference rooms, value-added services, and videoconferencing. A few extra minutes will save you and your clients thousands of dollars a year. Bekah Turner is a stenographer and the owner of Kentuckian Court Reporters.
